Without a proper tool to support, project manager has to remember the working times, holidays, working days of his team members manually while planning, reassigning the tasks. Now with the latest release of the Project Planner, with the help of resource dependant calendar, project manager can automatically get warning messages whenever he/she is assigning a task to the person who is on leave or whose working times do not match. The resource dependant calendar uses the company calendar as the base calendar. Hence the company holidays are automatically taken care of. Read on to understand more about the resource dependant calendar…. Introduction For any project manager, planning a project becomes difficult when all of the team members of the project are not working according to a globally defined calendar. For instance, Tom may be working on the project everyday from 13 pm to 17 pm and Stephanie might leave for maternity leave during July. All of these will impact the project schedule. In the earlier versions of the Project Planner it was not possible to set calendar for the resources and hence project managers had to keep track of each individuals’ working times and holidays while planning the project. Hence to help the managers with the different working times of his/her team members, a new feature, resource dependant calendar has been introduced in Project Planner. Resource dependant calendar can be defined as the one, which stores expected working and non-working days and hours for a particular resource. Non-working days usually include weekends, holidays and vacation days. With this new feature of project planner it is possible to have a working times calendar for each of the resources so that the Project planner automatically considers this calendar for the task allocations. For instance, say Pe      ");

Project planning is one of the first major activities a project manager needs to undertake once a project is approved. This activity plays a crucial role through out the project and it makes sense for project managers to arrive at realistic plan for a project to begin with. Hence this activity demands great attention from the project manager. Project planning involves drawing the activity (task) plan, resource plan, and schedule within the constraints of a given budget. During this phase, a project manager views the project in terms of a Gantt chart, PERT or network diagram and ensures that the plan has a very good chance of achieving the scope within the given schedule with the resources allocated. Also the manager breaks down the work (work break down structure) into smaller tasks to achieve better control. What does Work breakdown structure really mean? Every project has well defined objectives in terms of schedule, scope and resources. It could be something like Building the biggest aircraft the world has ever seen and deliver to our customer by January 1, 2006 at a unit cost of 100 million USD. This objective is pretty broad and it is not possible for one person to achieve this. It perhaps needs thousands of people possessing various skill sets to accomplish the task. So the scope is broken down further into easily manageable chunks of activities, which can be monitored. This is called a work breakdown structure (WBS). WBS is a hierarchic breakdown of a project or major activity into successive levels, in which each level is a finer breakdown of the preceding level. A WBS of a project looks a lot like the contents page of a document that displays the document split into sections, chapters and pages. The items within a specific level of WBS are numbered consecutively       ");

Today I cannot start SmartWorks server. How do I know what is happening? When I try to start server it briefly flashes on the screen and then closes down without installing the service. Any ideas? This could be due to one of the reasons given below: 1. TCP/IP may not have been installed or configured on the PC where SmartWorks server is running. If this is the case, you may have to configure your PC to support TCP/IP. 2. SmartWorks server runs at port number 6900 by default. If another service is running on the same port, the server will not start. In this case, you need to change the default port number to some other number say 7900, by invoking server manager. 3. It could be possible that the server is running but the icon is not seen. To check this press CTRL + ALT + DEL together on a win 95/98 machine or invoke task manager on an NT machine and see if the swserver.exe is running. Please close the server and start it again. Is it concurrent licensing? The user licenses are seat licenses. A user is a PC. So when we say 10 user license we mean a 10 seat license. The licenses are tied to the work stations where you have installed the software. Say you have purchased the server that supports 10 licenses. 10 clients have already connected to the server. It is not possible for the 11th client to connect to the server, even when one of these 10 clients log off. In this scenario, you can make use of the Clear License option available at the server. This will clear all the connected licenses and a new set of 10 connections can be made. What is the difference between Project Planner editions and SmartWorks editions? I observe that the start date of a task cannot be changed if the task has dependencies. Can it be changed any way? How can I set up buffer time in case of task dependency? Lead/lag can be used if there are dependencies set between the tasks. The tasks can have predecessors of 2 types: FS ( Finish to Start ) and SS ( Start to Start ) These dependencies decide the Start date of a task, i.e. if task A is FS dependent on task B, it means that the task A can start only after task B is completed. In this case even after setting the dependency, if you want a change of the dates, then you can make use of the Lead/Lag options. For example, consider task 5 is FS dependent on task 4 . The Finish date of task 4 is 19-01-2006 and hence the Start date of task 5 is 20-01-2006. This is how the dates due to dependencies are set. But due to some reason you do not want task 5 to start on 20-01-2006. In this case, you can set the dependency for task 5 as 4FS(3), which means that the task 5 will start on 23-01-2006 . Similarly lag can also be set for task 5 by having the dependency as 4FS(-3). In that case task 5 will sta      ");

Meetings are often referred to as places where minutes are made but hours are lost. We all know that considerable amount of time we spend in our work place gets consumed by meetings. Meetings have become an indispensable tool for increasing productivity; resolving conflict, interviewing candidates, analyzing tactics... the list goes on. While meetings are important they are also considered time wasters if they are not organized properly. For instance a typical organization conducts a minimum of five meetings a week, where four or more people participate for around an hour to arrive at conclusions. if you calculate this turns out to be 20 or more person hours spent in a week for the company. This means cost and it is imperative that this money is wisely spent.
